Including the ones with answers you may not want to hear. If something here rules us out for your business, better you find out now than three weeks into onboarding.

The basics

What is an AI voice receptionist?

An AI voice receptionist is software that answers your business phone line, holds a real spoken conversation with the caller, and completes an action: booking an appointment, logging a maintenance request, or dispatching an emergency to your on-call team. There are no keypad options, the caller just talks, and it does not stop at taking a message the way an answering service does.

How is this different from an answering service?

A traditional answering service takes a message and forwards it to you. Right On Call triages the call against your emergency rules, captures the structured details your technician needs, checks your service area, books into your calendar, and texts your on-call team, so the call ends with a dispatched job rather than a note in your inbox.

How is this different from a phone tree or IVR?

An IVR makes the caller navigate your org chart by pressing numbers. Right On Call asks the caller what is wrong in plain language and routes based on the answer. There is no menu to memorize and no dead end where a caller with an emergency gets stuck pressing zero.

Will callers know they are talking to AI?

We put a short disclosure on the line. If a caller asks directly whether they are speaking to a person, the receptionist says it is automated. The conversation should feel natural enough that people stay on the line and get helped, without ever pretending to be something it is not.

Setup and onboarding

How long does it take to go live?

Two weeks in most cases, from a complete onboarding pack. The timeline depends on how fast you get us hours, coverage rules, and on-call numbers. That is almost always the bottleneck, not our build queue. More complex setups, like multiple locations or custom integrations, can take longer.

Do I have to change my phone number?

No. Most customers forward their existing number to Right On Call, which means nothing changes on your business cards, your truck, or your Google listing. Porting the number to us outright is also an option if you would rather consolidate.

What do you need from me to get started?

Your hours, service area, what counts as an emergency in your trade, your on-call roster and numbers, your preferred greeting, and the calendar or field-service tool you already use. That is the onboarding pack, and how fast you return it sets the timeline.

Can I change how it behaves after launch?

Yes. Hours, coverage, emergency rules, fees, and your technician roster all live in settings you or we can change directly, not in a rebuild. From the dashboard you can also turn the receptionist off, and choose how many rings callers hear before it answers: first ring by default, or two to eight if you want a chance to pick up yourself first. Ongoing tuning is included.

Pricing and commitment

How much does it cost?

Setup is $750 one-time, or $500 with a three-month commitment. The monthly plan is about $150 and includes 150 minutes of answered calls, with overage billed at $0.40-0.50 per additional minute. SMS and photo intake, and custom CRM or field-service integration, are quoted separately.

Is there a long-term contract?

No. The $750 setup option carries no commitment at all. The reduced $500 setup is the one tied to a three-month term.

What happens if I go over my included minutes?

Overage is billed at $0.40-0.50 per additional minute. There is no forced tier upgrade. A busy month costs a bit more and a quiet month does not.

When do I get billed for overage minutes?

At the end of the month, as one line on your regular invoice for whatever you went over. Nothing is charged mid-month and nothing is billed per call.

What is the free missed-call audit?

We look at your actual call logs and work out how many calls are going unanswered, when they happen, and what they are plausibly worth against your close rate and average ticket. It is free, there is no commitment, and if the number is small we will tell you so. Want to run the numbers yourself first? The calculator does the same math with your estimates instead of your real call logs.

Capability and limits

Does it answer on the first ring?

Yes by default, including after hours and weekends. If you would rather the call ring your phone first, you can set it to wait two to eight rings from the dashboard and change that any time. The agent only picks up if you do not. The hours and after-hours rules it quotes to callers are the ones you give us. The receptionist covers the line; it does not invent your shop hours.

What happens if a call needs a real person?

The receptionist texts your team immediately with the context it has already captured, so a human can pick it up. Calls that need judgment a script cannot cover, like a frustrated customer or an ambiguous situation, are escalated rather than improvised.

Can it diagnose a problem or quote a price?

No, and that is deliberate. The receptionist cannot diagnose a fault or quote a repair. It captures symptoms and unit details. Pricing and diagnosis stay with your technician.

Does it speak French?

Yes, on the phone. If a caller starts in French, the receptionist stays in French. This website is English. Other languages can be trained on request as part of setup.

Does it work with Google LSA, HomeStars, or Yelp?

Yes, because those platforms already ring the number on your listing. Forward that number to Right On Call and the lead is answered. That is not a Google or HomeStars partnership API. It is the phone line those ads already use.

Does it work with my dispatch or CRM software?

Cal.com, Calendly, Google Calendar, Outlook, Zoho CRM, and Zoho Invoice run today. Jobber, Housecall Pro, ServiceTitan, Workiz, QuickBooks, Service Fusion, AppFolio, Buildium, and Propertyware are built on request as scoped setup work. The integrations page labels each one live, on request, or coming soon.

Data, privacy, and control

Are calls recorded, and who owns the recordings?

Calls are recorded so we can dispatch, book, and debug, and a short recording disclosure is played on the line. The recordings and transcripts belong to you. We do not sell them and we do not use them to train foundation models.

Where is my data stored?

This product depends on named vendors: Twilio for telephony, Vapi for the live voice pipeline, Anthropic for conversation, Supabase for call logs, and Render for hosting. Several of them process data in the United States. The security page lists every subprocessor and its region. We do not claim a Canadian data-residency story we cannot keep.

Are you SOC 2 certified or HIPAA compliant?

Not on the default plan. Baseline handling is PIPEDA-aligned: minimum collection, customer-owned recordings, deletion on request. SOC 2 and HIPAA are scoped builds we will price when a buyer needs them. They add vendor and audit cost, so they are not included in the $150 month.

Can I turn it off?

Yes. A dashboard kill switch stops the agent from answering. Your data is encrypted and kept separate from every other client, with no shared access between accounts.

Will it sound robotic to my customers?

No, Right On Call is built with natural, conversational voice AI and a script written for your trade, not a generic IVR tree. Callers get a real conversation rather than a phone menu, and if someone asks whether they're speaking to a person, the receptionist tells them it's automated.

What happens if a call needs a real person?

If a caller needs judgment a script can't cover (a complex complaint, a frustrated customer, anything outside the script), Right On Call texts your team immediately so a human can step in.

Can it tell a real emergency from a routine call?

Yes. Scripts are built around your trade's actual emergencies (no heat in winter, no AC in a heatwave, a burst pipe) versus routine bookings like a maintenance tune-up, and route each differently.

Does it work with my dispatch software?

We build the integration as part of setup. Bookings and dispatch details drop into the calendar or field-service tool you already use, so nothing gets re-keyed by hand.

What if I already have an answering service?

Most home service businesses switch from a generic answering service because it can only take a message: it can't triage the emergency, capture technical details, or dispatch on the spot. Right On Call does all three.

Real Estate & Property

Can it handle both tenant maintenance calls and new buyer or renter leads?

Yes, Right On Call is scripted to recognize the difference and handle each correctly: triaging maintenance urgency for existing tenants, and qualifying budget and timeline for new buyer or renter inquiries.

What counts as an emergency for a rental property?

We build your emergency list with you (typically no heat, active leaks, lockouts, and safety issues); anything else is logged and routed to your regular maintenance queue.

Does it integrate with our property management software?

We build the integration as part of setup, so maintenance requests and bookings land in the property management or CRM tool you already use instead of getting re-typed from a call log.

Can it work across multiple properties or units?

Yes, Right On Call is built around how your portfolio actually operates, whether that's a single building or a multi-property commercial book.

What about after-hours liability?

An unanswered emergency call is a liability risk as much as a lost customer. Right On Call makes sure every after-hours maintenance emergency is logged and dispatched immediately, with a timestamped record of the call.

Professional & Financial Services

Will it come across as unprofessional to clients?

The opposite is the risk we're solving for: a caller who reaches voicemail three times in a row is the unprofessional experience. Right On Call is scripted in your firm's tone and vocabulary.

Can it handle confidential or sensitive topics?

It's scripted to take down what's needed to book the right appointment with the right person, not to advise on the specifics, so sensitive details stay for the actual consultation.

What if a caller is an existing client with an urgent issue?

Scripts distinguish new business inquiries from existing-client calls, and can flag anything urgent for a same-day callback from your team.

Does it work for solo practitioners as well as multi-partner firms?

Yes, the script and routing are built around how your specific practice operates, whether that’s one advisor or a full team.

How does billing work for consultation bookings?

Right On Call handles the call and the booking; your existing intake and billing process picks up from there, unless we've scoped a deeper CRM integration as part of setup.
